Lesson 6: Run the centre from one screen
Goal: Home, history, the team, and what it all costs.
Home: the morning check
Section titled “Home: the morning check”Home answers the director’s three questions at a glance: tasks used, successful tasks, anything that needs review (failed or uncertain runs), what’s coming up today, and each agent’s health.
Agents and Company: who does what
Section titled “Agents and Company: who does what”Agents lists all four: Asha (enquiries), Meera (demo reminders), Kabir (fee reminders) and Tanvi (fee receipts), with their build method, runs and status.
Company arranges them like a building: put Asha and Meera on the Front desk floor and Kabir and Tanvi on an Accounts floor. New agents wait in the café until you give them a desk. 3D World shows the same building in 3D, which is a good way to explain the team to the director.
When something goes wrong
Section titled “When something goes wrong”- Home shows it under Needs review.
- Open the agent and click History. Filter Failed, open the run, and click the red step to read the error.
- Schedules → Activity shows everything waiting, such as Meera’s delays and Kabir’s next scheduled run.
- Fix the cause using Troubleshooting. The usual suspects at Vidya: a parent’s number without
91, a template that Meta hasn’t approved yet, or a sheet column that was renamed.
Bring the team in
Section titled “Bring the team in”The counsellors and Ravi should see their own work without sharing Neha’s login.
- Organisation → Invite people.
- Enter the counsellor’s Auto Appy account email (they sign up for free first), choose Member, and set Reports to Neha.
- Under Product access, switch on WhatsApp and CRM for counsellors; Ravi only needs Auto Appy for the fee agents.
- Send invitation. They accept it inside Auto Appy.
What it costs
Section titled “What it costs”| Agent | Volume per month | Tasks |
|---|---|---|
| Asha (enquiries, 2 paths) | 1,200 enquiries × 3 steps | ~3,600 |
| Meera (demo reminders) | 400 demos × 5 steps | ~2,000 |
| Kabir (fee reminders) | 2 runs × ~123 steps | ~250 |
| Tanvi (fee receipts) | 100 payments × 3 steps | ~300 |
| Total | ~6,150 |
That’s above the free Starter plan (1,200 tasks) and comfortably inside Growth (12,000 tasks, ₹999 a month). Check the real number any time in Settings → Plan and usage, which also shows Where your tasks went by agent.
- Invite a colleague as a Member with WhatsApp access only.
- Move Kabir and Tanvi onto an Accounts floor in Company.
- Re-do the cost table for a centre with half the enquiries but twice the demos.
- HomeDaily health: tasks, failures, what's next.
- Run historyEvery run, step by step, filterable by result.
- OrganisationInvite people, set roles and product access.
- Plans and billingTasks per month, and how to read your usage.
For trainers: how to teach this lesson
- Wrap up the course: put the four agents on the board as a team chart. Ask: “Which job would you automate next at Vidya?”
- Cost conversation: let the class estimate the task count before showing the table.
- Bridge: the real-estate course reuses everything here and adds multiple triggers, CRM, calendars, Claude and the API.
