Triggers
The trigger is the first step of a workflow: the event that starts it. You choose it when you click Add your first step; the picker says Starts the workflow next to every trigger.
Kinds of trigger
Section titled “Kinds of trigger”| Trigger | Starts when… | Set up by |
|---|---|---|
| Webhook (Auto Appy) | anything sends data to the workflow’s private URL: a website form, a landing page, a QR code, another app. | Copying Your Webhook URL into the other tool. |
| Schedule (Auto Appy) | a time arrives: once, every N minutes or hours, daily at a time, weekly on chosen days, monthly on chosen dates. | Picking the times on Configure. |
| App triggers | something happens in another app, such as a Razorpay payment, a Calendly booking or a Google Form response. | Usually copying the trigger’s webhook URL into that app’s settings, then sending a test event. |
| MCP (Auto Appy) | an AI assistant runs it through Auto Appy’s MCP server. | Exposing the workflow in Settings → MCP connections → Workflows. |
| No trigger (an action first) | you click Run once. | Starting the workflow with an action step instead of a trigger. |
The webhook trigger
Section titled “The webhook trigger”The most flexible trigger. Its Setup tab shows Your Webhook URL:
https://api.autoappy.com/workflows/execute/<workflow id>- Copy Your Webhook URL and paste it into your form’s settings (often called Webhook, Form action or POST URL).
- Click Start Capturing Sample Data. Auto Appy shows Listening for Data…
- Submit the form once with realistic answers.
- Click Check Status. The fields appear on the Test tab under Sample Data Preview, and the trigger and workflow switch to Live.
To capture again later (for example after adding a field to your form), click Re-capture Sample Data on the Test tab.
The technical details (methods, formats, responses and code examples) are in Webhook URLs.
The schedule trigger
Section titled “The schedule trigger”Choose Schedule (Auto Appy), then on Configure pick how often: once at a date and time, every few minutes or hours, every day at a time, on chosen weekdays, or on chosen dates each month. Upcoming runs appear in ⋯ → Schedules & delays and in Schedules → Activity.
More than one trigger
Section titled “More than one trigger”Leads often come from several places: your website, a Google Form, a QR code at an event, a Facebook lead form. Instead of copying the workflow for each, add extra triggers to the same workflow. Each one gets its own link, and they all start the same steps.
- Open the main trigger. In Leads from more than one place? click Add trigger. (Or hover the trigger tile and click the small +⚡ on its left.)
- Pick a source. Webhook works for any form, QR code or website; form apps such as Google Forms, Typeform, Tally, Jotform, Elementor and WordPress are also offered.
- Give it a Source name, such as Event QR code. Copy its link with Copy link and use it in that source.
- If the new source names fields differently (say
mobileinstead ofphone), click Match fields (or Match automatically) so later steps keep working.
Good to know:
- Up to 20 extra triggers per workflow. Extra triggers must be link-based (Webhook or form apps). Schedules, the MCP trigger and app triggers registered through an account can only be the main trigger.
- When a workflow has two or more triggers, every run records which one started it. Use
{{workflow.trigger_source.name}}in a step, for example to fill a CRM Source field. - In History, filter runs with From: All triggers.
